Privacy policy

Bana Systems builds roof measurement, estimating and reporting software for roofing contractors. This policy covers two things: this website, and the platform contractors and their customers sign in to. It is written to be read, not skimmed. Who we are

Bana Systems Inc. is the controller of the personal information described here. Our contact address for anything in this policy is hello@banasystems.com.

This website

The website itself sets no cookies, runs no analytics and loads no advertising. Fonts are served by Google Fonts, which receives your browser's request for the font files and nothing else from us.

The one place the website collects anything is the inquiry form. It asks for your name, your company, a work email address, a phone number, and an optional description of how you work. We use that information to reply to you about the platform, and for nothing else. Specifically:

The platform

The platform is used by roofing contractors ("subscribers") and by the homeowners and property owners they serve ("customers"). What we hold depends on which you are.

Subscribers

To run a contractor's account we hold the company's name, contact details, licence number, branding, pricing catalogue, and the accounts of the people on its team, including their names, email addresses and roles. This is what makes the platform work under the contractor's own brand and keeps each contractor's data separate from every other's.

Customers

When you use a contractor's portal or estimate tool we hold your name, email address, phone number and the address of the property being measured, together with the measurements, estimates and reports produced for it. The contractor you are working with sees this information; other contractors do not. Roof geometry is derived from aerial and satellite imagery of the property, supplied by mapping and imagery providers under licence.

Email we send

Every message the platform sends is the direct result of something you or your contractor just did: a verification code when you create an account or reset a password, a confirmation with your estimate attached when you run one, and a report when your contractor sends it to you. We send no marketing email and no newsletters. Messages come from hello@banasystems.com, which is a monitored mailbox, and a reply reaches a person. Mail is delivered through Amazon Web Services, and addresses that bounce or report a message as unwanted are automatically excluded from future sending.

Sign-in and storage

To keep you signed in the platform stores a session token in your browser. It is not used for tracking and it is removed when you sign out. The platform is hosted on Amazon Web Services in the United States, and data is encrypted in transit and at rest.

How long we keep it

Who else sees it

We use a small number of providers to run the service: Amazon Web Services for hosting, storage and email delivery; Google Workspace for our own mailboxes; and mapping and imagery providers that receive a property address or location in order to return imagery and geometry for it. Each acts on our instructions and under its own security commitments. We do not sell personal information and we do not share it with anyone for their own purposes. We disclose it only where the law requires us to.

Your choices

You can ask us what we hold about you, ask us to correct it, or ask us to delete it, by writing to hello@banasystems.com. If you are a customer of a contractor, your contractor holds your project with us; we will work with them to answer. You can also simply reply to any message we send, and a person will read it.

Changes

If this policy changes, the date at the top changes with it. Material changes to what we collect or why will be announced to signed-in subscribers before they take effect.
